Who we are

This website is run by JM Legg Pty Ltd (ABN 95 687 070 122), trading as JM Legg Hotshots, based in Midland WA 6056. When this page says we, us or our, that is who it means. Questions about this policy can go to jarrad@jmlegg.com.au or 0407 538 562.

What we collect

When you request a quote through this website, or call or email us, we collect the details you choose to give us. The online quote form has five steps. On the first step we collect your first and last name, your business name if you give one, your email address and your phone number. Those details are sent to us as soon as you press Continue, so we can follow up even if you do not finish the form. The remaining steps collect the job type and timing, the pickup and delivery addresses, a contact name and phone number at each site, and details of the freight: how many items, their dimensions and weight, a description, whether any of it is dangerous goods and, if so, the UN number, plus anything you type in the instructions box. The form also records a quote reference, the page you used, and the estimate, road distance and driving time shown to you, so that the confirmation call starts from the same figures. Through the contact form it is your name, a phone number or email address, and your message.

Someone else's details

If you give us the name and phone number of a contact at the pickup or delivery site, that is another person's personal information. We use it only to arrange and carry out that job and for nothing else. Please make sure that person knows you have passed their details to us and where to find this policy.

How we use it

To reply to you, prepare and confirm a quote, arrange and carry out the job, keep in touch about it, and meet our legal and business obligations. We do not sell your personal information and we do not add you to marketing lists. If you request a quote online, we use the email address you give us to send you your estimate and to follow up on that request only. That is a reply to something you asked for, not marketing. If you do not want any follow-up, tell us by replying to the email or contacting us at the details above.

Where it goes

This website is built and hosted for us by Pixelate Pty Ltd (ABN 15 699 872 752), Brisbane, on the Netlify hosting platform. The website itself keeps no copy of your request. When you submit either form, Netlify passes it through the Akismet spam filter, emails it to our own Microsoft 365 mailbox, and keeps a copy in the site's form records until it is deleted. Netlify may also record technical details of the submission, such as the network address it came from. Pixelate manages the hosting account for us and can see those form records in order to support the site; it does not use them for any other purpose.

To calculate an estimate, the pickup and delivery addresses you enter are sent to Google Maps Platform to work out the road distance and driving time, and as you type an address, the text you have typed so far is sent to Google so it can suggest matching addresses. Google receives the addresses and not your name or contact details. When the estimate email service is in use, the estimate email is sent on our behalf by Resend, a transactional email service. That email carries your first name, your email address, the pickup and delivery locations, the quote reference and the estimate, and Resend keeps a record of it for 30 days.

Netlify, Akismet, Google and Resend store and process information in the United States, where it is subject to that country's laws. We may also disclose information to our own contractors so they can carry out your job, and to government authorities where the law requires it.

How long we keep it

We keep quote requests and messages in our mailbox for as long as we need them to quote, carry out and account for the job and to meet our record-keeping obligations, and then delete them. The copy in the website's form records is held by Netlify until we or Pixelate delete it. Resend's record of the estimate email is deleted automatically after 30 days. To have your details deleted sooner, email jarrad@jmlegg.com.au or call 0407 538 562 and tell us which request it relates to; the quote reference from your estimate helps. We will delete it from our mailbox, have Pixelate delete it from the form records, and confirm when that is done. Address lookups already processed by Google are handled under Google's own privacy policy and are not something we can delete.

How we protect it

We take reasonable steps to protect your information from misuse, loss and unauthorised access. This website and the quote form are served over an encrypted connection, access to the form records is limited to us and to Pixelate on the hosting provider's platform, and the keys that let the site talk to Google and Resend are held by Pixelate and never appear in the website's code. No method of sending information over the internet is completely secure, so please avoid including sensitive information you would not normally send by email, and do not put gate codes or passwords in the instructions box.

Cookies and analytics

This site does not set analytics or advertising cookies. Anything it stores in your browser is there only so the pages and the quote form work.

Making a privacy complaint

If you believe we have mishandled your personal information, contact us at the details above and tell us what happened. If you are not satisfied with our response, you can refer the matter to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

If this policy changes, the new version appears here with a new date at the top.
